Job Summary

Michigan Medicine is a groundbreaking organization for many reasons, and much of the work that we do is made possible because of philanthropy. Annually, the Michigan Medicine Office of Development raises an average of $200 million, which helps us to be a change agent of the world.

The Michigan Medicine stewardship team collaborates with gift officers and other core services teams to ensure that our donors have high-quality interactions that foster long-term engagement with and investment in our organization. The stewardship assistant will work independently and proactively as a contributing team member in a fast paced, service-oriented environment. They will facilitate stewardship mailings, coordinate calendars both within the team and externally, run reports, and enter data into our donor database and other tracking sheets. This role will require frequent communications with faculty, administrators, and development professionals and will create, sustain, and further cultivate positive relationships. This position is required to work onsite (see Work Locations below) but will have occasional opportunities for remote work.

Responsibilities*

Acknowledgements (50%)

  • Prepare weekly acknowledgement mailings including data correction and verification, mail merge, printing, mailing, tracking, and follow up. 
  • Collaborate with associate director of stewardship to update all letter templates (design and copy) three times per year and the mail house contract every two years.

Administrative Support (40%)

  • Deliver a high volume of mailings, including obtaining and tracking signatures, hand-signing cards, mail merging, printing materials, collating, mailing, tracking, and follow up.
  • Request mailing lists and format data to USPS and MM Development standards.
  • Track gift agreement drafts, route for signatures, and request new funds.
  • Manage Thankview requests, including scheduling meetings, gathering information, preparing cover letters, and submitting tickets for delivery.
  • Manage team calendars, including scheduling meetings with faculty, administrators, gift officers, and staff.
  • Collect, format, update, and verify data sets on a regular basis to share externally.
  • Update data in the U-M donor database, both directly and by submitting tickets to other offices.

Donor and Stakeholder Coordination (5%)

  • Communicate with development colleagues and MM faculty, staff, and leadership in a clear, consistent, and effective manner about office policy, stewardship team requirements, deadlines, and projects (roll out, ongoing updates, and changes). 
  • Respond to questions/concerns and take appropriate action to resolve issues internally and/or escalate them appropriately.
  • Collaborate with team members to continuously improve stewardship programs that creatively and strategically engage donors.
  • Serve as a liaison to all development office teams and external stakeholders.
  • Contribute to a positive work culture while representing Michigan Medicine values and its unique role at the University of Michigan.

Other Projects (5%)

  • Provide backup support for stewardship team members and reception coverage as needed.
  • Support other projects as assigned.
  • Manage multiple priorities and meet challenging and changing deadlines.
  • Create strong working relationships with internal and external constituency groups to accomplish shared goals.
  • Work with limited supervision to accomplish goals by independently setting priorities to meet deadlines.
  • Work successfully in a fast-paced environment by adapting to ever-changing priorities and at times working under pressure.
  • Work effectively with frequent interruptions.

Required Qualifications*

  • At least four years of progressively responsible administrative support experience
  • Advanced experience with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook 365 etc.)
  • Experience with generating reports from a variety of databases
  • Detail- and results-oriented with ability to accurately manage large amounts of data
  • Excellent verbal, written, and organizational skills with demonstrated attention to detail
  • Proven ability to use discretion and maintain a high level of confidentiality
  • Must be able to lift/move 10 pounds
  • Candidate must have access to reliable internet

Desired Qualifications*

  • Bachelor's Degree or equivalent combination of education and experience
  • Proficient with Google drive, Asana, and Adobe (Acrobat Pro, InDesign)
  • Familiarity with fundraising 
  • Familiarity with University of Michigan and the Michigan Medicine organizational structure
  • Familiarity with development reporting systems
  • Experience with Zoom or other virtual meeting platforms

Work Locations

The onsite location for this position is an office suite at the 777 Building. This provides free, on-site parking for staff, including covered parking.

This position may be eligible for flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
