Title: Specialist, Legal Operations

Location: Remote

Position: Fixed-term contract thru March 31, 2025

Overall Function

The Specialist will be responsible for handling the compliance requirements associated with initial, or registration renewals associated with corporate business registrations, state solicitation license renewals, lobby staff registration, lobby disclosure filings, tax exemption filings, registered annual renewals, in addition to administrative legal operational duties, which include, but not limited to training, implementation of processes, governance documentation and maintenance, and key member of the centralized EDF-wide Contract Central tool. This position reports to the Senior Specialist, Legal Operations.

Key Responsibilities

Administrative

  • Manages daily administrative operational duties.
  • Ensure smooth logistics for onsite and offsite meetings (conference room reservations, rsvp's, meal planning, preparation, and execution).
  • Make international and domestic travel arrangements for senior staff such as booking flights, cars and hotel or restaurant reservations.
  • Process monthly out-of-pocket expense reports and AMEX Statements for senior staff ensuring expenses in line with company policy and submit using Concur.
  • Participate in advancing EDF Diversity, Equity & Inclusion goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF values.
  • Monitor and manage the Compliance Inbox and take appropriate action as needed, escalating any urgent emails.
  • Monitor and manage the Legal Invoice Inbox, obtain invoice approval, and process invoices for payment using NetSuite System.
  • Maintain and monitor Corporate Calendar working with various departments throughout the organization.
  • Act as the Policy Hub back up (reviews and update policies as needed).
  • Manage Annual Registration Renewals calendar for all entities, ensuring all deadlines are met.
  • Assist with processing Annual Registration Renewals as needed.
  • Submit documents for eSignature using DocuSign and ensure documentation is routed to the appropriate parties.
  • Create and maintain well-organized and accessible electronic files.
  • Additional relevant responsibilities as assigned.

Registrations | Other

  • Serve as the Legal, Ethics & Compliance liaison for local, state, federal and international business registrations.
  • Coordinate the development and implementation of training, materials, and resources to educate staff who are designated to lobby.
  • Monitor and evaluate user feedback to identify areas for improvement in the contract management system and related processes and propose innovative solutions for process improvements.
  • Coordinate with internal, and external parties to troubleshoot technical issues (internal and external parties)
  • Generate reports and analytics to track contract central management system usage, time entry lobby reportable data to ensure compliance practices are in order and obligations are met.
  • Collaborate with the alignment of the contract management system's objectives and deliverables with overall organizational goals and strategies.
  • Additional relevant responsibilities as assigned.

Qualifications

  • A minimum of three years' work experience in a fast-paced, detail-oriented environment; Associate degree, paralegal training, or equivalent work experience. Bachelor’s degree or equivalent may substitute for up to two years of relevant experience.
  • Ability to maintain confidentiality, exercise discretion and work under pressure.
  • Meticulous attention to detail, accuracy with numbers, and organizational abilities.
  • Demonstrated self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders across diverse cultures and backgrounds.
  • Displays initiative and works to solve problems in an efficient and effective manner.
  • Strong analytical and problem-solving abilities to address rigorous and novel problems, evaluate and identify appropriate solutions, and draw in support as needed.
  • Proactive, attentive to detail, and can handle multiple priorities at once and meet deadlines.
  • Works well independently as well as collaboratively with multidisciplinary teams across multiple time zones.
  • Familiarity with contract management systems and software platforms, such as Salesforce, or other similar tools.
  • Familiarity with process improvement methodologies and the ability to apply them to streamline contract management processes.
