The Position on our Team:
As a member of the Tenant Coordination team, the Retail Construction Coordinator manages opening, pre-construction and closing activities for their assigned properties. The Retail Construction Coordinator works closely with the Tenant Coordination team to track open projects, including issuing welcome packages and delivery notices, attending regularly scheduled tracking meetings and is responsible for providing updates in Retail Manager (Lease workflow database).
This is a full-time, hybrid position with three days in office and two days remote.
In This Role, You Will:
Opening Activities
- Send Welcome Letter to Tenant with LOD and previous tenant plans and verify correct space number and square footage.
- Works in the Bluebeam software program to load tenant drawings for review internally and communicates review comments to Tenant and their Consultants.
- Tracks delivery of possession dates and issues formal notice of delivery to Tenants.
- Schedule and facilitate regular GTS meetings with Operations, Leasing, Business Development and Tenant Coordinators. Send meeting minutes with action items highlighted to all invitees.
Pre-Construction Activities
- Sends Pre-construction preparedness letters to General Contractor.
- Reviews pre-construction documentation, including certificate of insurance, prior to construction start.
- Updates Retail Manger throughout the entire construction process, marking milestones as complete and adding relevant notes.
- Tracks Landlord work in Retail Manager.
- Assists in setting up Landlord Work Jobs in Construction Manager.
- Enters Custom Table information for Contracts in Construction Manager.
- Prepares Change Orders in Construction Manager.
Closing Activities / Tenant Allowance Compilation
- Send Punch List to Tenant’s General Contractor upon construction completion and tracks punch list to completion.
- Continually follows up on closeout paperwork with the General Contractor.
- Reviews Lease and creates abstract for Tenant Allowance Disbursement.
- Prepares Tenant Allowance packages pursuant to disbursement schedule for submission to Accounts Payable; working with Legal prior to submission and tracking thru the approval process with the Executives.
- Acquire a basic understanding and comprehension of legal documents such as Tenant leases and ancillary documents, Tenant/Construction Allowance Disbursement Schedules, Lien Waivers, General Contractor and Tenant Affidavits.
- All other duties as assigned.
What You Bring to Macerich:
- Two to four years experience in a tenant coordination support role.
- Excellent computer skills to include Excel, Word, Power Point and Adobe Acrobat.
- High comfort level with learning/mastering new computer programs.
- Ability to work independently on assigned properties and workflow tasks.
