Real Estate Executive Assistant

Residential Real Estate Firm searching for an EA for their team. Monday - Friday, 7-4 or 7:30 - 4:30. Contract to Hire.

Qualifications

Proven experience as an executive assistant, preferably in the real estate industry
Proficiency in real estate software, including Profit Power and BrokerMetrics
Excellent organization and time management skills
Strong communication and interpersonal abilities
Ability to handle confidential information with discretion
Flexibility to adapt to changing responsibilitie s
Prior experience in a similar role is advantageous, particularly in the real estate sector

Responsibilities

The ideal candidate will be proficient in handling complex administrative tasks, managing schedules, and coordinating various responsibilities related to real estate operation
Take meeting minutes, prepare agendas, and follow up on action items as requested
Prepare monthly packets containing information on brokerage sales, listings, closings, mortgage success rate, insurance success rate, title success rate, and relocation monthly reports
Compile and present regional market share reports
Prepare weekly branch information packets for sales meetings
Post updates in Chatter as directed
Establish and maintain effective communication and connectivity systems/processes with field personnel
Coordinate calendar and travel arrangements
Prepare expense reports and manage purchasing requests
Distribute payroll reports and ensure accuracy
Act as a liaison with the marketing department for various initiatives
Create and distribute monthly reports
Manage tracking and administration of recognition program, including new agent welcome packages, anniversary milestones, production milestones, agent support recognition, and holiday cards
