We are seeking a skilled Office Manager to be responsible for answering phones, greeting visitors, and providing office support and general administrative functions to management and staff for a wide range of assignments and functions.

Responsibilities:

  • Answer phones, greet guests, announce as needed.
  • Maintain internal phone list.
  • Receive, sort, stamp, and distribute incoming and process outgoing mail, including preparing certified receipts. Maintain postage machine supplies, update as needed.
  • Prepare and coordinate FedEx and other carrier drop-offs/pick-ups and track the properties for bill backs.
  • Keep the front lobby and conference rooms presentation-ready at all times.
  • Maintain conference room schedule.
  • Keep the kitchen clean at all times. Keep refrigerator stocked. Clean refrigerator twice monthly
  • Provide general office support for the corporate team, as needed. Assist with any special projects and other administrative duties, as requested, such as expense reports, travel coordination, luncheons, reservations, calendar management, contact database, etc. as requested.
  • Maintain filing systems including creation, printing, labeling, copying, scanning.
  • Oversee maintenance of the office and equipment; provide a safe, clean and organized office space.
  • Order, stock and maintain supplies needed throughout office, including kitchen items; coordinate and maintain office supply orders and inventory and restocking.


Desired Competency, Experience and Skills:

  • Associates Degree, preferred
  • Microsoft office products w/ typing capability; adept at learning new PC skills
  • Adobe
  • Ability to operate general office equipment
  • Ability to handle multiple phone lines simultaneously
  • Excellent client relation skills, accompanied by verbal and written communication skills. Possess an ability to interface with employees and clients with tact and diplomacy.
  • Demonstrate ability to organize and manage changing priorities, with excellent time management.
  • Ability to multi-task and meet deadlines.
  • Ability to identify challenges: collect data, coordinate resources, and meet demanding deadlines. Must be a creative problem solver and have the ability to juggle multiple projects simultaneously.
  • Ability to work productively under stressful situations, with a commitment to producing high-quality work.
  • Strong follow-through skills and attention to detail.
  • Team player with initiative/pro-active attitude/strong work ethic.
  • Maintain a professional appearance and pleasant attitude at all times.
  • Handle sensitive and confidential information with complete discretion.
  • Good attendance and punctuality required.

This position is 100% in-office. The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
