In this role as a representative of the Marketing Operations team, the Manager, Congress Planning will be responsible for supporting the Sr. Manager, Congress Planning on budgeting, logistical planning, execution and reconciliation of expenses for all congresses. The incumbent will act as a full-service Coordinator with support from the Sr. Manager, Congress Planning, while utilizing third party vendors to meet the business needs under the guidance of the Sr. Manager, Congress Planning.
The ideal candidate will have strong project management and communication skills and have the ability to prioritize many timelines on a daily, weekly, and monthly basis.
The incumbent must have the ability to work collaboratively with other members of the Marketing Operations team to deliver a high standard of congress planning excellence to the business stakeholders. In addition to technical capabilities, the role requires strong interpersonal and organizational skills.
Roles and Responsibilities:
Assist & manage material shipments for congresses (ordering materials on behalf of business owners, providing the shipping address & shipping deadlines to warehouse partners, etc.)
Assist with creating and support maintaining a material shipment tracker with vendor partner
Assist with material management tracking for sponsorship materials & booth materials, while ensuring all materials are fully MMRC/MRC approved prior to the congress start dates
Assist with HCP/KOL Partnership initiatives for congresses (i.e.: creating/managing tracker, working with the TLL/MSL and business owners on scheduling encounters, and onsite support)
Assist with creating an HCP/KOL Partnership insights presentation deck after each congress with National/Global presence
Help define & clarify meeting or congress related needs with the Sr. Manager, Congress Planning/Program Team/Business Owner and work with them to establish and drive congress/meeting expectations
Assist with ensuring Cost Centers and Indication specific codes match up to all corresponding PO/PR forms before submitted internally
Support on an as needed basis, the submission of SOW’s and PO/PR forms for internal processing
Assist with maintaining a KOL/HCP tracker with vendor partner for HCP contracts, honoraria & travel for congresses
In collaboration with the Sr. Manager, Congress Planning & program lead (Business owner), help manage approved budgets and ensure compliance with corporate and community financial policies
In collaboration with the Sr. Manager, Congress Planning, legal and the program lead (Business owner), help support and maintain a tracking process for legal documents to ensure CDAs or Consulting Agreements are in place with each attendee prior to the start date of a congress/ancillary meeting associated with a congress
Assist the Sr. Manager, Congress planning with all meeting/congress requirements including but not limited to; identifying sites for meetings, invitations, registration, email communications, air and ground travel, food and beverage requirements, audio visual, budget reconciliation and program evaluations and follow-up
Support with organizing event logistics including exhibitor contracts, booth set up and teardown, booth staff, collateral, promotional items, lead generation, speaker presentations, and strategic planning based on guidance from the Sr. Manager, Congress Planning
Assist with final reviews and modifications of Pre-Congress & Post-Congress presentation decks, & Post Congress Surveys before finalizing with business owners
Build and maintain relationships with internal business partners such as Marketing, Medical, Patient Advocacy, Finance, Travel, Compliance, Legal as well as external vendors to ensure a professional corporate image
Acts as a key contact for internal meeting and congress attendees change requests
Onsite support at ancillary meetings & congresses
Other ad hoc duties as assigned
Skills and Competencies:
Experience/hands on usage of Cvent Event Management software program highly preferred
Excellent analytical, decision-making, and problem-solving (solution-oriented) skillset
Experience communicating with multiple stakeholders at all levels within the organization
Experience with HCP/KOL communications and onsite support
Education, Experience and Qualifications:
Bachelor's Degree preferred but not required; CMP preferred
2-3 years biotech/pharmaceutical meetings management experience highly preferred
Microsoft Office Suite (Word, Excel, PowerPoint), Smart Sheets
Must be willing to work a flexible schedule including travel up to 50% US & International
