Full Job Description

An incumbent in this position under minimal supervision plans, prepares, and researches grant proposals and monitors funded projects to ensure compliance with requirements of funding agencies. The incumbent may assist the director with developing fundable projects and at times may be assigned full responsibility for developing and submitting proposals and reporting grant activity for the department. The position requires independent judgment in the interpretation and application of college policies and procedures. The incumbent is expected to keep abreast of changes in sponsored projects administration and to make recommendations for improving procedures and services.

Knowledge of:

  • Trends in the design and administration of specially funded programs;
  • Sources of grants for educational programs and respective regulations and guidelines;
  • Methods and techniques of writing, and editing grant proposals and preparing grant budgets;
  • Correct English usage, spelling, grammar, and punctuation;
  • Networks and web-based portals used to prepare, file, and submit grant documents;
  • Computer systems and software applications for word processing, database management, and spreadsheet development;
  • Organization and management of records;
  • Sources of data for analysis and interpretation.

Demonstrated ability to:

  • Use a computer keyboard with speed and accuracy;
  • Work with high level of accuracy and great attention to details;
  • Plan, organize, and prioritize work in order to meet frequent and changing deadlines;
  • Communicate effectively both orally and in writing.

Essential Functions and Qualifications

  1. Coordinate activities related to planning and implementing district-wide preparation of applications for federal, state and foundation grants and contracts for instructional programs, student services, and other special projects.
  2. Locate and distribute funding information to district staff and departments.
  3. Correspond with and schedule meetings with administrators, faculty and staff to support the planning and developing of appropriate proposals; inform them of grant opportunities matched with expressed priorities and need; assist them with initial approval to apply.
  4. Prepare monthly Board agenda items and annual reports on proposals submitted and grants received.
  5. Research available funding opportunities matched with district needs and strategic priorities and make recommendations to the director.
  6. Research, interpret, and apply federal, state, and local policies, regulations, and guidelines as they relate to grants management.
  7. Work with faculty and staff in defining and maintaining calendar of proposal due dates and meeting procedures for preparing grant proposals.
  8. Compile, interpret, and present statistical data for grant proposals.
  9. Assist staff and faculty with writing and editing grant proposals; prepare proposal budgets.
  10. Coordinate with the grant director and Business Services to ensure budget requirements are adequately and legally met.
  11. Seek clarification and/or resolve problems with agency program and contract officers.
  12. Monitor and track activity on funded grants, including, maintaining each project's audit file and maintaining a system of notification for report due dates.
  13. Oversee the closeout of grant projects according to district and funder's regulations, policies and procedures.
  14. Conduct new project director orientations to explain the role and responsibilities of implementing a grant project in compliance with district and agency policies.
  15. Utilize agency-specific grant program guidelines and electronic submission portals to submit proposals and reports.
  16. Attend or participate in national, state, and local professional organizations to develop and improve skills and knowledge to increase success in funding.
  17. Assist in all activities of the office to ensure continuity of operations and timely implementation of services.
  18. Perform other related duties as assigned.
