Job Summary
The Finance and Operations Associate will support the administrative team with tasks related to subrecipient monitoring, proposal submission, HR practices, financial reconciliations, and other operational matters. This position will work directly with the Finance & Operations Team and Associate Director.
Job Duties and Responsibilities
- Support subrecipient monitoring through invoice tracking.
- Serve as a permanent member on the Team Engagement Committee and Retreat Committee to support in the planning and execution of the annual staff retreat, various team building activities, and wellness initiatives.
- Contribute to the operation of the Human Resources Information System, including payroll and timesheet support.
- Initiate monthly AP/AR transactions, including credit card reconciliation and project costing.
- Manage vendor and contractor relationships in Bill.com, ensuring timely processing of invoices, effective communication, and troubleshooting any software issues to maintain seamless operation within the system.
- Assist with administrative tasks such as staff meeting prep and note-taking, organizing SharePoint folders.
- Create and implement SOP’s for internal accounting and HR procedures.
- Collaborate with cross-functional teams to brainstorm and implement improvements to internal processes, enhancing staff efficiency and streamlining remote operations.
Preferred Qualifications
- Bachelor’s degree with emphasis in administration, nonprofit management, finance or a related field.
- At least one year of work experience.
- Ability to multi-task and prioritize to meet deadlines.
- Ability to work in a fast-paced team environment.
- Ability to work effectively with remote team members.
- Ability to demonstrate a high degree of discretion and maintain confidential information.
- Ability to learn new tools quickly.
- Experience planning and implementing in-person and virtual meetings and convenings.
- Strong written and verbal communication skills; skilled at proofreading and editing.
- High level of attention to detail.
- Strong analytic, problem solving, and decision-making capabilities.
- Strong organizational, planning, and time management skills.
- Experience with ADP Workforce Now
- Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and virtual meeting platforms (e.g., Zoom).

Salary $58,000-$61,000 (Level 2), $62,000-65,000 (Level 3), and $66,000-69,000 (Level 4). Commensurate with experience. Competitive benefits package provided.
Job Type This is a full-time, remote position.
Travel This position may include travel for the annual all-staff retreat, meeting attendance, and other promotional or networking activities.
