Full Job Description

The Assistant Registrar supports the administrative set up of registrar-related operations in the student information system database (Workday) including, but not limited to, enrollment reporting, registration, grading, and beginning/end of semester processing. The Assistant Registrar manages all National Student Clearinghouse reporting, serves as the office liaison for generating internal and ad-hoc reports, and demonstrates an understanding of office policies and procedures to guide and communicate as appropriate with faculty, staff, and students.

Primary Responsibilities:

Support administrative operations in Workday. Manage all enrollment status changes including the student leave of absence process, institutional withdrawals, academic dismissal, and discontinuation of records due to non-attendance. Responsible for submitting student enrollment and graduation data reporting to the Department of Education through the National Student Clearinghouse (NSC). Responsible for ensuring compliance, timely data transmission, and error resolution. Create user documentation and keep documentation current as procedures and tasks change.

Fully participate in all phases of systems projects whether they be in production or currently under development. This includes but is not limited to ongoing support to the Workday Student database, Series 25 room scheduling, Parchment for transcript and diploma services, Catalog/Curriculum software and any other related applications in use by the office.

Responsible for the integrity, accuracy, and security of academic data. Update, validate, and verify appropriate registrar-related data. Create efficient processes that will support routinizing data management tasks and regular data reports/requests. Customize reports for end-user needs and generate standardized reports for internal data checking and reconciliation. Collaborate closely with the Office of Institutional Research and Assessment (OIRA).

Represent the office in areas of overall service, process and policy guidance, and support. Train front line staff and RAM Center staff on URO operations, business practices, and university academic policies and procedures. Troubleshoot and solve situations with students and faculty involving items such as academic progress, academic plans, registration, courses and schedules. Foster and maintain strong working relationships and communication with students, faculty and staff.

Assist as back-up to the front-line processing area as needed to support the day-to-day responsibilities of the office. Provide coverage and support for the University Registrar's internal phone line as well as the Ram Registration and Financial customer service center. Represent the office as needed in trainings, orientations, working groups, and informational campus events.

Requirements/Qualifications:

  • Bachelor's Degree and 2-3 years of relevant higher education experience in a record keeping office
  • Demonstrated knowledge in the tasks and responsibilities of a Registrar's Office
  • Demonstrated expertise with Student Information System databases (experience in Workday preferred)
  • Advanced skills in Microsoft Office suite (including Word, Excel, PowerPoint)
  • Excellent written and oral communication
  • High level of initiative, attention to detail, and organizational skills
  • Strong analytic and problem-solving skills
  • Ability to work independently and multi-task
  • Ability to exercise discretion with confidential information, familiarity with FERPA (Family Educational Rights and Privacy Act) and data security best practices
  • Commitment to prioritizing inclusivity, diversity and equity in executing key responsibilities
  • Cover letter required to be seriously considered

Preferred:

  • Experience with National Student Clearinghouse reporting
  • Experience in developing, writing, and modifying reports
