Summary


King County Parks is seeking an experienced Administrative Specialist II to join the Community Investments and Engagement team. In this role, will use your administrative skills to play a crucial role in enhancing our park system by connecting the people of King County to our parks and programs.

About the Role:
This position works closely with various stakeholders and staff to provide administrative, data management, technical support and communication duties supporting the operation of the Community Investments and Engagement section. This position supports purchasing for the section, ordering signs and promotional materials, coordinating bulk mailings, and supporting the team in a variety of administrative functions.

This position performs work remotely and onsite.

We collaborate with community-based organizations to better support and develop our park system in a way that reflects the range of needs and experiences of the community members who utilize our parks.

Job Duties

What You Will Be Doing

Administrative Support:

  • Provide administrative support to internal and external customers/stakeholders, which includes managers, supervisors, co-workers, external customers, and the public. Coordinate responses to public inquiries.
  • Manage finance and accounting processes, including purchasing and processing payments, submitting orders, and managing printing orders.
Records and Documentation:
  • Prepare, proofread, and finalize documentation including meeting notes, correspondence, and presentations. Participate in and take notes at various internal and external meetings and events. 
  • Serve as section's Electronic Records Coordinator responsible for managing electronic records according to established protocols and retention schedules. Develop and manage systems for filing, communication, and documentation (SharePoint, Teams, OneDrive).
Office/Section Coordination: 
  • Manage section calendar including scheduling meetings and appointments, managing video conferencing requirements, developing meeting materials, and reserving rooms and equipment.
  • Manage section business needs such as processing requests for office supplies and equipment, travel and training, printing, and copying, and signage production. Ensure the necessary approvals are secured and coordinate purchases. Manage inventory to distribute to the community.

Experience, Qualifications, Knowledge, Skills

Qualifications You Bring   

  • Minimum of three years of progressive office experience providing administrative, technical, clerical, and customer service support functions. 
  • Ability to effectively plan, prioritize, and delegate workload on a daily basis while adapting to changes. 
  • Demonstrated ability to communicate effectively with the public.
  • Demonstrated experience in customer service roles with the ability to effectively engage diverse populations, answer inquiries, and resolve issues for a positive experience.
  • Commitment to advancing King County's Equity, Racial, and Social Justice priorities.  
  • Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint, and SharePoint).

It Would Be Great if You Also Bring:
  • Valid Washington State Driver's License
  • Experience with financial management and procurement processes and systems.

Supplemental Information

Working Conditions:

  • Remote and Onsite Work Details: Employees in this role work remotely from a home location, with onsite reporting requirements typically 1 - 2 times per week. The frequency of onsite work is determined by business needs and may be adjusted accordingly. Onsite reporting locations may be at various King County worksites including the collaboration space at King Street Center (201 S. Jackson St, Seattle, WA 98104). This work arrangement promotes work-life-balance and reduces carbon footprint under the department's vision of Green Where We Work.  
  • Remote Work Location Requirement: Employees must reside in Washington State and be within a reasonable distance to King County worksites to meet onsite reporting requirements.
  • Work Schedule: This full-time position works a 40-hour work week. This position is covered under the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible. 
  • Union Representation: This position is not represented by a union.
