The Position on our Team:

The Administrative Assistant assists in the day-to-day operations of the property. These duties include customary administrative support for the General Manager, Operations Manager, Marketing Manager, and Specialty Leasing Managers.

This is a full-time, in-person role based at the Fashion Outlets of Chicago.

In This Role, You Will:

  • Obtain all pertinent information and documentation required for generating SLD lease documents. Send documents to tenant for execution through DocuSign. Discuss with tenants all move-in requirements (i.e., business information, sign approval, first and last month’s rent, insurance requirements, etc.). Guide new SLD tenants through the opening process.
  • Walk the mall daily to confirm SLD tenants are open and operating as required; notify tenants as necessary of non-compliance with lease requirements and/or operating rules.
  • Maintain correspondence and documentation for the Specialty Leasing program. Document program activities appropriately to include noteworthy information (i.e., possession dates, opening/closing of tenants, etc.). Process all information and correspondence, including filing and distributing to the appropriate personnel.
  • Work with Specialty Leasing Manager in the design and preparation of regular and on-demand reports, including canvasing reports, variance forecasts, leasing, and pipeline reports, as well as direct requests for associated data.
  • Assist with the collection of delinquent rents and submission of sales reporting for SLD tenants.
  • Assist General Manager, Operations Manager and Marketing Manager as needed with general property management and marketing tasks, including inputting work orders as needed for space/cart turnover, operational issues, event set ups, etc.
  • Track common area space and inventory availability as requested.
  • Maintain current inventory list of all cart/RMU fixtures, order supplies as necessary.
  • All other duties as assigned.

What You Bring to Macerich:

  • High School diploma or equivalent.
  • Minimum 5 years administrative experience.
  • Experience in commercial real estate administration preferred.
  • Intermediate knowledge of Microsoft Office including Word, Excel, PowerPoint, and Outlook
