The Administrative Assistant provides vital support to the work of teaching and learning in the School of Communication, largely through service to faculty and students, and the management of business operations within academic departments. Reporting to the Director of Operations and Communications, the Academic Administrative Associate will serve and share essential duties for multiple academic departments, with coordinated flexibility to evolving circumstances. The ideal candidate will have demonstrated experience in business/administrative support and/or project management and be highly organized, collaborative, adaptive to competing demands, and welcoming to a diverse range of individuals and perspectives.

ESSENTIAL JOB DUTIES

Faculty Support

  • Assist faculty’s access to and utilization of various self-service tools designed to manage expenses, travel arrangements, employment, career plans, and textbooks.
  • Support the work of search committees, coordinating application files, interview schedules, travel arrangements, etc.
  • Coordinate processes related to contracts and onboarding of new full-time and affiliate faculty.
  • Facilitate the provision of equipment, supplies, office space, etc. necessary for teaching.
  • Maintain an up-to-date collection of syllabi, ensuring access to the Office of the Dean.

Student Support

  • Receive and respond to student inquiries, or redirect to appropriate faculty or other offices
  • Manage special permissions for course registrations, receiving student requests and confirming approvals by chair and/or course instructors

Administrative Support

  • Acting as office liaison, receive and direct correspondence from faculty, students, staff, etc.
  • Assist leadership with management of the department’s finances, monitoring budget activity, producing quarterly spend projections, and processing financial transactions (e.g., vendor agreements, purchase orders, requests for payment, etc.), with close support from the School of Communication’s Director of Operations
  • Coordinate with business vendors and college offices to purchase, maintain, and repair office equipment.
  • In collaboration with faculty, facilitate the hiring and supervision of student employees.
  • Assist with the coordination of facilities and services related to special department events.

QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to effectively perform job.

  • Bachelor's degree, Associate degree with additional work experience, or equivalent experience.
  • 1-3 years of office administrative experience.

KNOWLEDGE, SKILLS, AND ABILITIES – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with the job.

  • Strong organizational skills and ability to multitask and prioritize.
  • Effective interpersonal and communication skills.
  • Detail-oriented with excellent follow-through.
  • Experienced with Word and Excel.

  • Usual Office Conditions

Compensation: $21.60 - $25.90 hourly, commensurate with experience.

Grade of Position: 23-05NE

Scheduled Weekly Hours: 36.25
